For those who greeted me happy birthday, thank you so much! I truly enjoyed my birthday! I appreciate your thoughtfulness! BTW, to those who went to the Bergamo Meeting, please give me some tips so our meeting here in Seattle will turn out okay! Thank you!!!
Tip 1: Organising Vt-ers is like herding cats. So keep any organising to the absolute basics and minimise your stress levels! Tip 2: But do organise namebadges of some type so people know who they are (and also see tip 3). Tip 3: Be absolutely inflexible about the money aspects. Have a cut-off date for signing-up, keep to it, collect money for all meals/trips which have been signed-up-for in advance at registration (cash is easiest, obv). We 'stole' a system of coloured sticky dots added to namebadges to show who'd paid for what, and we also had attendance lists for each meal (duly ticked as people arrived). Make it very clear to restaurants and to attendees that any extras/drinks must be paid for at the time of ordering and not added to the final bill (which is anyway scarily huge). Tip 4: Collecting and collating attendee's hotel locations and mobile phone numbers is useful, but you obviously can't insist if people don't want to give that info. Tip 5: Relax about it. It's should be fun for you as well as for everyone else! :-) We followed the advice above, had a brill time in Bergamo and (I think) all our attendees did as well.
